Contractor and Supplier Coordinator
To provide day-to-day administrative and coordination support for contractor management and cleanroom uniform supply. This role will ensure that key contractor work orders are managed including placing purchase orders (POs), raising work permits, managing hours and tracking spend accurately. The role includes the management of uniform supply services, ensuring this process runs smoothly to support GMP manufacturing operations.
Key Responsibilities
Contractor Administration
- Centralised point of contact for administration of key contractor activities.
- Receive requests for contractor services from manufacturing plant stakeholders.
- Select appropriate contractor and agree scope of work and execution dates with chosen contractor.
- Raise PO and Permit to work for agreed scope of work.
- Confirm work completed, match invoices and verify for accuracy, process payments.
- Escalate and resolve discrepancies with Finance, Procurement, or suppliers.
- Track contractor hours onsite and costs against approved POs and contracts.
- Identify where new or updated contracts are required and coordinate with procurement team to put in place/update.
- Provide weekly/monthly contractor spend and hours reports to Engineering, Operations and Finance.
- Identify areas for cost and quality improvement, source new/additional contractors where appropriate.
Uniform Supplier Coordination
- Act as point of contact for the cleanroom uniform supplier.
- Track garment stock levels, deliveries, and returns to ensure uninterrupted supply.
- Resolve day-to-day issues (missing items, size changes, service delays).
- Keep logs of uniform usage, spend, and supplier KPIs.
- Work with procurement to ensure contract is up to date and costs are fixed.
General Support & Reporting
- Assist managers in preparing data for audits and inspections.
- Support budget tracking through accurate records and timely reporting.
- Suggest process improvements to make administration more efficient.

Skills & Competencies
- Strong organisational skills and attention to detail.
- Confidence in handling invoices, POs, and cost tracking.
- Good communication and teamwork skills.
- Proficiency with MS Excel and ERP systems (SAP/Oracle or similar).
- Ability to manage multiple priorities and meet deadlines.
Qualifications & Experience
- 2–3 years’ experience in an administrative, purchasing, or supplier coordination role.
- Experience in a manufacturing or regulated environment (pharma/medical device preferred but not essential).
- Familiarity with purchase order systems and contractor administration processes.
Success Measures
- 100% of contractor POs checked and processed accurately.
- Contractor hours and spend reports delivered on time each month.
- Uniform supply maintained without stockouts.
- Positive feedback from Operations, Finance, and suppliers.
- Audit-ready documentation at all times.
- Overall cost saving in administering
