Freight Coordinator – Job Description

Role Summary

A Freight Coordinator is responsible for coordinating shipments, managing carriers, ensuring documentation accuracy, and tracking deliveries to meet customer and business requirements.

Key Responsibilities

 Shipment Coordination

• Plan and schedule transportation of goods
• Book shipments with carriers (trucking, air, sea, )
• Select optimal routes and transport modes to reduce cost and delays

 Tracking & Monitoring

• Monitor shipment progress from origin to destination
• Track delays, disruptions, and provide updates to stakeholders
• Ensure on-time delivery performance

 Documentation & Compliance

• Prepare and manage shipping documents:
  • Bills of lading (B/L)
  • Commercial invoices
  • Packing lists
  • Customs documentation
• Ensure compliance with customs, regulations, and company policies

 Communication & Coordination

• Coordinate with:
  • Suppliers
  • Warehouses
  • Carriers / freight forwarders
  • Customers
• Resolve shipment issues, delays, or damages

 Cost Control & Optimization

• Monitor transportation costs and suggest improvements
• Verify freight invoices and manage billing discrepancies

 Issue Resolution

• Troubleshoot logistics problems (missed pickups, customs holds, lost cargo)
• Develop contingency plans for urgent shipments

 Required Skills

• Strong organizational and multitasking abilities
• Knowledge of transportation and logistics processes
• Familiarity with ERP systems (GME, JDE, etc.) and TMS tools
• Excellent communication and negotiation skills
• Attention to detail and accuracy
• Problem-solving and decision-making skills

 Typical Qualifications

• Bachelor’s degree in:
  • Supply Chain Management
  • Logistics
  • Business Administration
• 0–2 years experience in freight, logistics, or supply chain roles
• Knowledge of Incoterms and international shipping regulations (preferred)

 KPIs (Performance Indicators)

• On-time delivery rate
• Freight cost per shipment
• Shipment accuracy (documentation & quantity)
• Claims / damage rate
• Carrier performance
