Position: Senior HR Specialist (Vietnam)

Office Location: Vantive Healthcare, Ho Chi Minh City

Line Manager: Sr. HR Manager, based in Malaysia (Malaysia Thailand and Vietnam)

Dotted Line Report: Country Head of Vietnam

Job Scope:The Senior Specialist, Human Resources serves as the key HR partner for Vietnam, responsible for delivering end-to-end HR solutions across HR operations, onboarding & recruitment process, employee relations, compliance, payroll, benefits administration, and HR projects. The role ensures operational excellence, regulatory compliance, and a positive employee experience while supporting business leaders and employees throughout the employee lifecycle. This position requires a well-rounded HR professional who can balance day-to-day operational execution with continuous improvement initiatives, workforce planning support, people analytics, and employee engagement activities.

Job Descriptions:

1. HR Operations & Employee Lifecycle Management

  • Serve as the primary HR contact for Vietnam employees and managers on HR policies, procedures, and employee lifecycle matters.

  • Manage end-to-end employee administration, including onboarding, employee changes, transfers, promotions, and offboarding activities.

  • Ensure accurate maintenance of employee records, personnel files, and HR documentation in compliance with company policies and local labor regulations.

  • Oversee employee data governance and conduct regular audits to ensure data accuracy, integrity, and compliance.

  • Coordinate with cross-functional stakeholders, including Payroll, Finance, IT, Legal, and external vendors, to ensure smooth execution of HR processes.

  • Ensure timely submission of statutory reports and fulfillment of all local labor regulatory requirements.

  • Support internal and external audits by maintaining proper documentation and HR controls.

2. Payroll, Benefits & Compliance Administration

  • Manage the end-to-end payroll process in partnership with payroll vendors, ensuring timely and accurate salary payments.

  • Review and validate payroll inputs, employee changes, incentive payments, allowances, and statutory deductions.

  • Serve as the primary contact for payroll and benefits-related inquiries.

  • Administer employee benefits programs, including insurance, leave management, wellness initiatives, and employee reimbursements.

  • Ensure compliance with local employment legislation, tax requirements, social insurance, labor regulations, and company policies.

  • Maintain strong governance and internal controls to mitigate compliance and operational risks.

3. Talent Acquisition & Workforce Planning Support

  • Partner with Talent Acquisition team to manage recruitment activities for professional and specialist-level positions across Vietnam.

  • Partner hiring managers to understand talent requirements and develop effective sourcing strategies.

  • Review and manage recruitment sourcing process with hiring managers, including position creation, liaison with search agencies, employee referral program process, offer management, onboarding, offboarding and etc.

  • Monitor recruitment metrics and provide market intelligence to support hiring decisions.

  • Ensure an exceptional candidate and onboarding experience.

4. HR Systems, Analytics & Continuous Improvement

  • Serve as the local HR systems subject matter expert, ensuring system accuracy, effectiveness, and user support.

  • Maintain high-quality HR data within Workday and other HR platforms.

  • Generate, analyze, and interpret HR metrics related to headcount, labor costs, turnover, recruitment, attendance, and employee trends.

  • Provide meaningful people insights and reports to support business and HR leadership decision-making.

  • Drive process improvements, automation opportunities, and digital transformation initiatives to enhance HR service delivery.

  • Support implementation and change management efforts for new HR systems and technology projects.

5. Employee Relations & Employee Experience

  • Act as a trusted HR advisor for employees and managers on workplace matters and HR policies.

  • Support employee relations cases, investigations, disciplinary matters, and policy interpretations in alignment with local labor laws and company guidelines.

  • Lead and drive employee engagement initiatives and activities that foster a positive, inclusive, and high-performing workplace culture.

  • Support communication, change management, and organizational initiatives to enhance employee experience.

  • Partner with leaders to identify potential employee concerns and proactively address workplace issues.

6. HR Projects & Strategic Initiatives

  • Participate in regional and local HR initiatives to improve organizational effectiveness, employee experience, and operational efficiency.

  • Support implementation of HR programs across talent management, engagement, performance management, and organizational change.

  • Contribute to workforce planning, organizational reviews, and talent discussions as required.

  • Perform additional responsibilities and special projects as assigned.

Qualifications:

  • Bachelor's Degree in Human Resources, Business Administration, Management, or a related field.

  • Minimum 5 years of progressive Human Resources experience in a multinational environment.

  • Solid exposure across HR Operations, Recruitment, Employee Relations, Payroll, and HR Compliance.

  • Strong knowledge of Vietnam labor laws and employment practices.

  • Strong analytical and problem-solving capabilities.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Excellent communication, stakeholder management, and interpersonal skills.

  • Strong attention to detail and commitment to data accuracy.

  • Continuous improvement and customer-service mindset.

  • High level of professionalism, integrity, and confidentiality.

  • Fluent in Vietnamese and proficient in English, both written and verbal.

  • Experience working with HRIS platforms such as Workday is preferred.

  • Experience partnering with business leaders and managing external vendors is an advantage.
